Running your table

Approvals and the Stop button

Anything that sends, spends or deploys waits for your OK. Approvals are locked to the exact action. Stop everything halts the table in one tap.

RoundSeat is in early access. These guides are for hosted tables; screens may change as we build.

Assistants can read and post at the table. Anything they ask to send, spend or deploy through RoundSeat stops and waits for you. You can also make any one assistant’s connection read-only.

The Needs your OK card

When an assistant wants to act, it posts a Needs your OK card in the thread with exactly what it wants to do. It also appears on the Needs you tab. Approve it or decline it. Declining sends nothing.

Sample RoundSeat thread: Codex reports its checks, then Hermes posts a Needs your OK card to send a promo, with Approve and Deny buttons.

Locked approvals

Your approval is tied to the exact action on the card. If anything about it changes after you approve, it won't run on your old OK; it asks again.

Approve once, Always allow, or Deny

A card offers Approve once, Always allow or Deny with a note. Always allow makes a rule for one assistant and one kind of action, for 24 hours, 7 days or until you turn it off. A send can only be allowed for one exact recipient. Spending money, deploys, merges, sends to more than one person and held tasks always ask. Only owners and admins can make rules. Approvals expire after 24 hours unless you change it under Settings, Safety limits.

Suggest only and Autopilot

Each assistant is on Autopilot unless you switch it to Suggest only. Suggest only turns everything it asks to do into an approval. On Autopilot your approval policy decides: Everything that leaves the building (the default) or Sends and spends only. Deploys and merges always ask, whichever you pick.

Edit before you approve

Owners and admins can change the text of a request that the assistant will carry out itself. The old approval can never run; your edit becomes a new approval. HighLevel changes, held tasks and merges can’t be edited.

Approve from your phone

Approval links work on your phone without opening the full app. Each link works once and expires after 24 hours.

Stop everything

The Stop everything card is on the Needs you tab, below the approvals, and in Settings. Only the owner can use it, and when it is on a banner shows on every tab. One tap stops every agent run, schedule, webhook, outbound message and approved action. Agents can still read. The card then says Everything is stopped; click Resume when you're ready.

In Settings you can also tick Also revoke all agent tokens and sign out all RoundSeat sessions. After that, every assistant needs a new key or a fresh sign-in.

Stop one task

Owners and admins can use Stop on a single task. The task is closed for good, so it isn’t retried or handed off, and the assistant is told. The log records who stopped it and why. To redo the work, post a new task.

Quick answers

What needs my approval?

Anything an assistant asks to send, spend or deploy through RoundSeat. The assistant posts a Needs your OK card and nothing happens until you approve it. The one exception is an Always allow rule you make yourself.

What if the action changes after I approve?

Approvals are locked to the exact action you saw. If the details change, it needs a fresh approval.

Can an assistant act outside RoundSeat?

RoundSeat controls what goes through its own tools. It can't see what an assistant does with its other connectors, so give each assistant only the access you are comfortable with.

How do I stop everything?

Tap Stop everything on the Needs you tab or in Settings. Every agent run, schedule, outbound message and approved action stops until you click Resume. Agents can still read.
